If you pass out a credit card or cash to purchase fuel for your company’s vehicles, you may have already come across a fake gas receipt without even knowing it. So how do you protect yourself from an employee that is passing on fake gas receipts and keeping the cash?
How Employees Steal Money Using Fake Gas Receipts
First you have to understand what fake gas receipts are and how they are made. Let’s say you give an employee $200 to fill up a truck and you expect a fuel receipt and the appropriate amount of change. They can put $100 worth of fuel into the truck, make a fake fuel receipt for $180, and give you $20 in change. Thus they would steal $80.
How do you make a fake gas receipt? It’s so simple. Just google fake receipt generator and you will find dozens of fake receipt generators that are perfect for making fake gas receipts. And gas receipts are super easy to fake because they are so simple with no bar codes, logos, etc..
How To Solve This Problem
Get a company fuel card that has electronic fuel receipts (e-receipts) or purchase alerts that go straight to your email inbox as soon as the driver hangs up the pump. That way no one can tamper with fuel receipts because the receipts are going directly to you.
To take it a step further, get a fuel card that can only purchase fuel and only the right type of fuel (gas or diesel) for the vehicle. Limit the number of gallons each driver can purchase, and make sure they can only purchase fuel when you want them to.
