How to Use a Wex Fuel Card: A step-by-step guide

Designed for both small fleets and large fleets with diesel, gasoline and off-road needs the Wex fuel card can do it all. Accepted at 9 out of 10 fuel stations, as well as 450,000 maintenance locations nationwide Wex is a near universal card that will conveniently and efficiently fuel your fleet. But before the card can be put to good use, you and your drivers first have to know how to use it. So let’s get started.

Step1: Read and record your mileage

This is the first step because you’ll need to know this number before you can begin fueling, and it wouldn’t be a bad idea to have it in mind before leaving the cab of your truck.

Step 2: Swipe Card

Insert your card, and then quickly retract it out of the card reader to begin the fuel purchasing process.

Step 3: Input Driver ID

Your Driver ID is a five digit number that is uniquely assigned to your card, and required before any purchase can be made with a WEX fuel card. Once you’ve swiped your card through, the display will then ask you to input your driver ID before sending you on to the next step.

Step 4: Input Odometer

Just like the Driver ID#, the mileage of the truck that is being fueled is required before fuel can be purchased. This is so that fleet managers can efficiently access records of the vehicles use, allowing them to schedule necessary maintenance needs on time.

Step 5: Fuel-up

Once you’ve imputed both your mileage and your driver ID, the pump will approve your purchase and you will then be able to select your fuel type and fill up your vehicle

Step 6: Collect Receipt

After filling your tank, and placed the nozzle back in its place go back to the display and hit “Yes” to receive a receipt for your purchase. This way, fleet managers accurately report their company’s fuel use come tax season. However, if a fleet manager has equipped their Wex cards with Wex’s e-reporting feature, then there will be no need to collect a physical receipt.
